Default Group Synchronization: How do I add participants from iMIS?

One of GoLightly's powerful features is the ability to drive the membership of your Social Network groups from any natural grouping with iMIS (Chapter, Committee, Dues, Event, Member Type, Name.Category Table, Section, Volunteer), or from any query/View you create.

An index of the natural groupings from your IMIS are brought over automatically. This index is available on your "Admin Tools" > "Group Synchronization" page when you click the "All Groups" link, or you can see an index by natural grouping type or query/View by clicking to the right of "By Type of Group".

Add Participants from Natural Grouping
A natural grouping is one of the following lists of people stored within your iMIS: Chapter, Committee, Dues, Event, Member Type, Name.Category Table, Section, Volunteer
  1. Bring up a complete index of available groupings by choosing either "All Groups", or one of the grouping types to the right of "By Type of Group". For example if you want to add participants from a Chapter, click "Chapter" to the right of "By Type of Group". You will be shown an index of all of the Chapters available from within your iMIS.
  2. Search for the name of the iMIS grouping in the "iMIS Group ID" column. To link it to a Social Network group (i.e., drive membership in the Social Network group from iMIS), click "Add Link" in the "Status?" column.
  3. See further instructions below: "Link iMIS group to Social Networking group"
Add Participants from View
  1. Check to see if the name of your View has been added to the "Groupings of People from iMIS" by clicking the "View" link to the right of "By Type of Group".
  2. If the name of the View has not been specified (i.e., added to the index of iMIS groupings), then click on "show" next to "Special Tools". One of the tools is "Add Group from iMIS View".
    • In the "View" field, enter the literal View name. (The actual View/query should be added within iMIS -- this entry is the name of the View only.)
    • In the "Descriptive Name" field, enter a name that describes the purpose of this View. This field is only used to help you and your team remember the reason for this View.
    • Click Save.
  3. If the View has been added to the index, you will see it in the "iMIS Group ID" column. To link it to a Social Network group, click the "Add Link" in the "Status?" column.

Link iMIS group to Social Networking group
  1. Find the natural grouping (or View) from iMIS that you want to use to drive the membership of your Social Network group and click "Add Link" (see above)
  2. On this page you will see a two step process.
  3. Step 1: Create Social Networking Group. You can skip this step if you have already created a group. Otherwise click the "Create New Group" link. This will bring up a pop-up box.
    • Fill out the "Start New Group" form and submit.
    • Choose the desired privacy settings and save.
    • Once privacy settings have been saved you can close the pop-up box.
  4. Step 2: Link Groups. Choose the social network group from the "-Choose Group-" drop-down and then click the "Link to this Social Network Group" button.

Default "Everyone" Committee

Is this why we have an "everyone" committee? I find that nomenclature misleading. Everyone (who qualifies) is in the community. Does the software require that they also be in an "everyone committee"?

The "Everyone" group is a default group that includes everyone in the community. It includes everyone who has ever been on the SocialNetworkAllowView. That said, the people who are not currently on the SocialNetworkAllowView will still be in the Everyone group but will be in a "Blocked" state and not have access to the community, nor will they be visible to other members.

This "Everyone" group is not linked with any particular natural grouping (or View) and is not managed by this Group Synchronization feature.
